MetatronAI business automation

An AI assistant for your business

The admin work prepares itself. You just approve it.

Quotes, invoices, emails, document capture and internal know-how — an assistant tailored to your company does the groundwork, while you keep the final say. We build it around the tools you already use.

AI assistant
You
Find the clients we sent a quote over €1,000 to in the last 6 months who haven’t accepted it yet.
Assistant
I found 7 clients with €18,400 in open quotes in total.
  • Adria Pack d.o.o.€4,20041 days ago
  • Zelena točka j.d.o.o.€2,95023 days ago
  • Kvarner Tours€1,78012 days ago
+ 4 more clients
You
Write each of them a personalised email and suggest a time for a call.
Assistant
I’ve prepared 7 drafts. Nothing has been sent — open your Gmail account and you’ll find the drafts waiting there. Review them and hit send.

The conversation above is illustrative and the data is made up — but the question box is real: the assistant answers live.

AI prepares, you decide

The assistant drafts, fills in forms and compiles lists. Nothing is sent or recorded without your click.

Tailored to your company

We adapt the system to your processes, terminology and way of working — not the other way round.

Works with the tools you have

Email, business software, spreadsheets, your website — we connect what you already use instead of replacing it all.

Services

Nine areas where the assistant takes over the routine

Pick an area and see how it works in day-to-day business — with example questions and real-world situations. Next to every example you can ask the assistant right away.

AI business assistant

One place to talk to your business data and kick off tasks in plain language.

Instead of digging through spreadsheets, software and folders, you simply ask. The assistant is connected to your business data — sales, invoices, clients, deadlines — and answers in plain language, putting together a list or a chart when needed. It also helps you stay organised: it tracks obligations, turns messages into tasks and reminds you of anything that mustn’t slip through the cracks.

  • Reports and analytics without building spreadsheets by hand
  • Answers with a chart or a list, linked to the source data
  • Tasks, deadlines and reminders pulled from emails and messages
  • A daily briefing: what needs doing today and what’s overdue

Checkpoint: The assistant answers and prepares — it doesn’t change or send anything without your approval.

What it looks like in practice

Monday morning, before the first coffee

You
Give me a summary of what I need to handle this week and which invoices are overdue.
Assistant
You have 4 deadlines this week: two quotes expire on Wednesday, the supplier contract needs to be signed by Friday, and on Thursday you’re meeting the client Adria Pack. 3 invoices totalling €4,860 are unpaid — the oldest is 38 days overdue.
You
Prepare reminders for those three invoices.
Assistant
I’ve prepared 3 friendly reminders, each with the invoice number, amount and due date. They’re waiting for your approval.
Your click
You review the drafts and send them with a single click.

Example requests

  • “How much revenue did we make this month?”
  • “Which clients brought in the most revenue this year?”
  • “Compare sales with last year.”
  • “Which invoices haven’t clients paid yet?”
  • “Pull all the tasks and deadlines out of this email.”
  • “Remind me on Friday to call this client.”
  • “Summarise what I need to get done today.”

Smart email and client management

Analysing communication, finding information, drafting replies, quotes and sales follow-ups.

Your inbox has been collecting data about clients, quotes and agreements for years — it’s just buried, unstructured, in the body of emails. The assistant turns it into a structure you can search and actually use. It also drafts replies, quotes and invoices: because it’s connected to your mailbox, it knows who asked for what and who’s waiting to hear back.

  • Smart email search: lists of clients, quotes sent and amounts
  • Quotes and invoices prepared one by one — or for a whole group of clients at once
  • Draft replies to emails you haven’t answered yet
  • Personalised supplier enquiries and tracking of sales opportunities

Checkpoint: The AI never sends emails on its own. It prepares drafts, and you review and send them — so nothing unwanted ever goes out.

What it looks like in practice

Ten supplier enquiries in one go

You
Find the 10 print shops closest to us and ask them for a quote for 2,000 A5 flyers, printed on both sides, same as we asked last time.
Assistant
I found 10 print shops within 25 km. For each one I’ve prepared a personalised email — with the shop’s name, the specification from your last enquiry and a reply deadline.
Your click
You open the 10 drafts, tweak anything you need and send them with one click.

Example requests

  • “Extract all the email addresses we sent quotes to in the last two years.”
  • “Show me the clients we sent quotes over €500 to.”
  • “Prepare a quote for everyone who asked for one by email but hasn’t received it yet.”
  • “Draft replies to the emails I haven’t answered.”
  • “Find all the clients we sent a quote to who never replied.”
  • “Which clients haven’t we contacted in over six months?”
  • “Show me all open sales opportunities.”

Document and admin automation

Reading scanned documents, automatic data entry, processing forms and contracts.

No more retyping from paper. Just snap a photo of a document with your phone or scan it, and the assistant recognises the content — supplier, amounts, dates, line items — and fills in the forms in your system. Before the data goes in, you check it visually and confirm with a single button.

  • Incoming invoices, delivery notes, travel orders, purchase orders and forms
  • Recognition from phone photos and scanned PDFs alike
  • Key contract data: deadlines, amounts, notice periods, obligations
  • The original document and the filled-in form side by side

Checkpoint: Nothing goes into the system until you confirm. The assistant flags uncertain fields by itself.

Try it live

Scan a quote or invoice and get a payment barcode

Scanio is our real tool for reading data from documents: upload a photo or PDF of a quote or invoice, and it recognises the payee, IBAN, amount, payment reference and description, then builds a HUB-3 barcode you can scan with your mobile banking app. No sign-up needed. (Scanio is built for the Croatian market, so its interface and payment barcode follow Croatian standards.)

Open Scanio

What it looks like in practice

A stack of invoices at the end of the month

You
You photograph 14 paper invoices with your phone.
Assistant
I’ve read all 14: suppliers, VAT IDs, amounts, VAT and due dates. On one invoice the amount isn’t clearly legible — I’ve flagged it for review.
Your click
Next to every filled-in form you see the original. You correct one field and confirm the entry with a single button.

Example requests

  • “Enter these incoming invoices into the purchase ledger.”
  • “Pull the expiry date and notice period out of this contract.”
  • “Create a purchase order from this photographed supplier quote.”
  • “Which contracts expire in the next three months?”

Business process automation

Connecting your software, moving data automatically and running repetitive tasks.

Most companies use several programs that don’t “talk” to each other — so people copy data from one to another by hand. We build automation around the tools you already use: you don’t have to switch software — we connect it so the repetitive work runs on its own. The assistant can also watch external sources — supplier prices, product availability or competitors’ websites — and let you know as soon as something important changes.

  • Connecting email, website, business software, calendar and spreadsheets
  • Moving data automatically, with no retyping
  • Rules like “when X happens, prepare Y”
  • Notifying the right people when something changes
  • Automatic tracking of prices and product availability on external sources
  • Monitoring competitor websites, with an alert as soon as a tracked detail changes

Checkpoint: For every process we agree on what runs automatically and what waits for your approval.

What it looks like in practice

A competitor changed their prices

Assistant
The price list on the website of your competitor Print Centar Rijeka, which I check every day, has changed:
• A5 flyers, 1,000 pcs: €89 → €74 (−17%)
• A new “Business cards + flyers” bundle for €119.
Your price for the same item is €85.
You
Compare it with our price list.
Assistant
Compared with your price list:
• A5 flyers, 1,000 pcs: you €85, competitor €74 — you’re €11 (15%) more expensive.
• Business cards + flyers: you €45 + €85 = €130 separately, competitor €119 as a bundle — you’re €11 (9%) more expensive.
• The other tracked items haven’t changed; there you’re still 5 – 12% cheaper.

Example requests

  • “When an order arrives by email, prepare a record in the business system.”
  • “When a client accepts a quote, prepare the data for the invoice.”
  • “When a new enquiry comes in through the website, log the client and draft a reply.”
  • “When a project’s status changes, notify the responsible staff.”
  • “Track the prices of these 20 items at our suppliers and tell me when something gets cheaper or goes out of stock.”
  • “Monitor the price lists and offers on our three main competitors’ websites and tell me about every change.”

Smart business knowledge and AI support

Internal know-how, answers to employee questions, customer support and an AI chat on your website.

Your company’s knowledge — procedures, rules, price lists, instructions — is entered once and updated whenever something changes. From then on every employee can search it in plain language, as if asking an experienced colleague. In the same way the assistant can serve your customers as an AI chat on your website — but from a separate, public knowledge base that contains only what customers are allowed to know: terms, prices, delivery, opening hours and the like. Internal procedures are never available to customers. Whatever it doesn’t know or isn’t allowed to answer, the chat forwards to your people.

  • An internal knowledge base that answers questions — not just a list of documents
  • Answers with a link to the original procedure
  • An AI chat on your website for the most common customer questions
  • Customers only see knowledge you’ve marked as public — internal stays internal
  • You decide when the assistant answers on its own and when it hands over to a human
  • A full history of every question and answer

Checkpoint: You decide what the assistant may answer on its own and what it passes on to your people. You also see the history of every conversation.

What it looks like in practice

A new colleague in the warehouse

You
A customer’s goods arrived damaged. What should I do?
Assistant
According to our complaints procedure:
1. Ask the customer for photos of the damage and the packaging, no later than 48 hours after delivery.
2. Open a complaint in the system and attach the photos.
3. If the damage happened in transit, report it to the courier within 5 working days.
4. Replacements up to €300 are approved by the warehouse manager, above that by the sales manager.
Assistant
Source: Complaints procedure, updated 14.3.2026. Would you like me to draft an email to the customer explaining how to take the photos?

Example requests

  • “How do we handle a complaint when goods arrive damaged?”
  • “What’s the procedure for approving annual leave?”
  • “How big is the discount on a repeat order?”
  • “Do you deliver to the islands and how long does it take? (a customer asking on the website)”

Voice input and voice control

Dictate emails, documents and texts in any application, and check them before sending.

No more typing. Talk to your computer and your speech is turned into text automatically — a reply to an email, text in an editor, a note or a form. Dictation works anywhere on your computer, including desktop mail clients like Outlook. Before sending or saving, you simply check the text.

  • Dictate into any text field on your computer
  • Works with Outlook and other mail clients, editors and web apps
  • Spoken instructions to the assistant instead of typing
  • The text is always visible for review before sending

Checkpoint: Dictated text never goes anywhere on its own — you read it and send it.

What it looks like in practice

Replying to an email while looking at a document

  1. Press a keyboard shortcut on your computer to start recording.
  2. Dictate your text.
  3. Press the same shortcut again to stop recording.
  4. The dictated text appears right in front of you.
  5. Read it, fix a word or two if needed, and click Send.

Anywhere on your computer, you start recording with a keyboard shortcut:

  • Ctrl+→ record straight into text
  • Ctrl+← record + polish the text

Try it: click in the field below, press Ctrl + → and start talking. The shortcuts work anywhere on this page.

Example requests

  • “Reply: thanks for your enquiry, Thursday at ten works for us.”
  • “Take down notes from the client meeting.”
  • “Prepare a quote for Horvat d.o.o. based on last week’s call.”

Data analysis and charts

Ask your data questions in plain language — the assistant calculates, compares and draws the charts.

Sales, costs, customers, orders — the data is all there, but every report means someone building spreadsheets. The assistant is connected to your data and answers questions with a chart and a short takeaway: what’s growing, what’s falling and where the outliers are. It calculates the figures straight from the source instead of estimating them — and you can narrow down or compare any chart right away with a follow-up question.

  • Charts and comparisons on request, without building tables and pivots
  • Trends over time, year-over-year comparisons, top customers and products
  • Filters in plain language: region, channel, period, category
  • A short takeaway with every chart — what matters and why

Checkpoint: The assistant only reads and displays the data — it never changes anything. Every chart comes with a table of the figures.

What it looks like in practice

Try it: sales data of the Adria Print print shop

You
How has our revenue by sales channel developed, by quarter?
Assistant
The sales team still brings in the most, but the web shop is growing fastest: from about €7k in Q1 2024 to €121k in Q2 2026.
Your click
Now it’s your turn — the data is made up, but the analysis is real: the assistant calculates every chart live.
Try:

Example requests

  • “How has monthly revenue developed compared with last year?”
  • “Which customers bring in the highest margin?”
  • “Which region is growing fastest, and which is declining?”
  • “Compare the web shop and the sales team by quarter.”

Documents and presentations

PDF documents and presentations from a description, built from your data — plus interactive HTML reports.

Describe what you need — a quote for a client, a report for the board, a presentation for a meeting — and the assistant produces a finished document in your company template, with figures pulled straight from your systems. For reports that are read on screen, it also creates dynamic HTML documents: they read like a polished report, while the charts and tables inside respond to filters, so everyone can explore the data they care about.

  • PDFs from a description: quotes, pro-forma invoices, reports, minutes, guides and letters
  • Quotes and invoices in a formal template, with VAT calculation and a barcode for mobile banking payments
  • Presentations for meetings and clients, built from real data
  • Dynamic HTML reports with interactive charts, filters and tables
  • Your company template on every document: logo, colours, details and footer
  • Changes in one sentence: “change the deadline”, “add an item”, “fit it on one page”

Checkpoint: The assistant prepares the document and you review it before it goes out. It takes figures from your data — it never makes them up.

Dynamic document example

Interactive report: print shop sales 2024 – 2026

This is what an HTML report built by the assistant from business data looks like: it reads like a document — summary, sections, conclusions — while the charts and tables respond to filters by period, region and sales channel.

Open the report

What it looks like in practice

A quote in five minutes, not half a day

You
Create a quote for Hotel Lungomare: 3,000 A4 menus, laminated, and 500 business cards. Delivery by 15 May.
Assistant
The quote is ready: items priced from the price list, a regular-customer discount, VAT, delivery date, payment terms and a barcode for payment. Review it before sending.
Your click
Now it’s your turn — describe a document and the assistant creates it live as a PDF.
Try:

Example requests

  • “Create a quote for Hotel Lavanda based on their last email.”
  • “Prepare a monthly sales report for the board, with charts.”
  • “Put together a six-slide presentation on our first-half results.”
  • “Turn the meeting notes into tidy minutes as a PDF.”
  • “Create an interactive sales-by-region report I can share with the team.”

Smart website maintenance

Update your website in plain language and grow its content automatically — no waiting for a developer.

You don’t need a new website for this: we connect the site you already have to your AI assistant (and if you’re only planning one, we’ll build it for you). From then on, the assistant makes the changes. Just tell it what you want — update the prices, add an article, fix the text on the home page, create a new subpage — and the assistant prepares it on the site. Everything a developer or your website person usually does, your AI assistant can do too. Maintenance can even be automated: for example, every week the assistant drafts a new blog post and you simply approve it from your inbox. Google loves websites whose content grows steadily and naturally — and now that growth, along with all the maintenance, takes care of itself.

  • Works with your existing website — no need for a new one (though we can build you one too)
  • Change prices, texts, images and contact details in plain language
  • New articles, news and entire subpages without a developer
  • A new blog post automatically every week — you just approve it from your inbox
  • Steady, natural content growth that helps your Google ranking (SEO)
  • Preview every change before it goes live and roll back to the previous version in one click

Checkpoint: For each type of change we agree whether it goes live immediately or waits for your approval. Previous versions are always kept.

What it looks like in practice

A new article every week — you just click Approve

Assistant
I’ve prepared this week’s blog post: “How to choose paper for business cards — matte, gloss or recycled?”
• 650 words, with two photos from your gallery
• links to your business card price list and the order page
• title and description optimised for Google search
The preview is in your inbox — I’ll publish it as soon as you approve.
Your click
You read the article in the email and click Approve — the article is live.
You
By the way, change the business card price on the website from €45 to €49.
Assistant
The price has been changed in three places: the price list, the service page and the new article. The previous version is saved, so you can undo the change in one click.

Example requests

  • “Raise all prices in the price list on the website by 5%.”
  • “Add a blog post about how to prepare files for print.”
  • “Update the opening hours on the home page: on Saturdays we’re open until 1 pm.”
  • “Create a new subpage for canvas printing, in the style of the other services.”
  • “Every Monday, draft a new blog post and send it to me for approval.”

A real-world example

One question instead of an afternoon in spreadsheets

  1. 1

    The owner asks

“Find all clients we sent a quote over €1,000 to in the past six months who still haven’t accepted it.”

  2. 2

    The assistant analyses

It searches the connected emails, quote records and client data, then compiles a list of results with links to the original sources.

  3. 3

The owner picks the next step

“Write each of them a personalised email and suggest a time for a call.”

  4. 4

    You approve

The assistant prepares the drafts, and the owner reviews and approves them before anything goes out.

How we work

Every company works differently — that’s why we start with a conversation

We don’t sell an off-the-shelf package. In a short call we work out together what’s worth automating in your business and what isn’t — and which tools the assistant needs to work with.

Book a call

We also build websites — an AI chat and automated enquiry handling can be part of your new site from day one.

  1. 1

    A phone call

We get to know the basics of your business, the tools you use and the tasks that eat up most of your time — and suggest what can be automated.

  2. 2

    A joint assessment

We tell you honestly what can be automated, what isn’t worth it, and where a human needs to stay in the loop.

  3. 3

    Tailoring and integration

We adapt the assistant to your processes and connect it to your email, software and documents.

  4. 4

    Rollout and support

We show your team how it works, stay with you through the first weeks and keep improving the system as needed.

FAQ

What people usually ask us

Can the AI send something I haven’t approved?

No. The core principle is that the assistant prepares and a human approves. Emails, quotes, invoices and system entries wait for your click. Where you want full automation (e.g. logging incoming enquiries), we agree on it explicitly.

Do we have to change the software we use?

As a rule, no. We build the automation around the tools you already have. On the call we check what we can connect to.

Is this an off-the-shelf product or a custom solution?

Custom. The foundation is the same, but every implementation is tailored to your processes, documents and the way you communicate with clients.

Who has access to our data?

We define access together: the assistant only sees the sources you give it, and you decide who in the company can ask and do what.

Does the assistant work in English and other languages?

Yes — it understands questions and speech in English, Croatian and many other languages, and replies in the language you use. It can also handle communication with international clients.

What if the assistant doesn’t know the answer?

It says so and flags it. In customer support, it forwards the enquiry to your people according to rules you set.
